Minutes of the CC meeting held at Littlethorpe on Sunday 6 August 2006
Present: Jim Bingham [JB], Sean Hewitt [SH], Mick Tate [MT].

2. Minutes
There were no previous minutes to be approved.
3. Matters Arising
As there were no previous minutes, there were no matters arising.
4. Arangements for Congress
A general discussion took place on the requirements for the successful running of the Atkins Congress, scheduled for 15-17 September 2006. It was agreed that:
- Finance: LRCA treasurer had supplied SH with the £500 seed money agreed by PC. This has nearly all been spent already on hire of venue, printing of entry forms and postage of entry forms.
- Bank Account: No news on LRCA setting up a congress account. SH reported that as a result he had asked Peter Harrison to open one asap with JB, Peter Harrison and Howard Phillips as signatories.
- Arbiters: Sean Hewitt, Andy Morley and Alan Jex be invited to be arbiters. A fee would not be offered, but expenses would be covered.
- Equipment: SH had already made arrangements to borrow sufficient sets, boards and clocks from Nuneaton Chess Club, as well as pairing boards. SH had designed a template to pre-print the pairing cards, and ChessDirect would be supplying wall charts and score sheets.
- Bookstall: SH had already made arrangements for ChessDirect to provide a bookstall for the entire the weekend.
- Setting Up: Wyggeston College would provide tables and chairs in the playing venue. We could access the venue from Friday afternoon, but help would be needed to arrange the tables appropriately and to set up the equipmemnt. SH, JB, MT volunteered and it was agreed to seek another 5 volunteers for setting up – Action SH.
- Late Entry / Payment: It was agreed to operate a late entry / payment desk and that Dave Ricketts would be asked to man it – Action SH.
- Prizegiving: It was agreed that there would be no prizegiving ceremony. Cheques will be handed to winners on the day or posted out next day if required.
- Packing Away: 10 volunteers would be needed to pack the equipment away and an appeal would be made – Action SH.
- Tea Stall: The college refectory is next door to the playing hall and will be available to us as both an analysis room and to house the tea stall. Pete Harrison’s sister / mother would be invited to operate the tea stall on the basis of a 50/50 split of the proceeds – Action SH.
- T-Shirts – Atkins Congress T Shirts would be made up to readily identify the organisers – Action SH.
- Signage – Of various descriptions would be required. SH had all these already designed from previous events. MT would laminate so that they were suitable to be place outside as well as in – Action SH/MT.
